Privacy Statement

Ixion Holdings (Contracts) Limited, part of Shaw Trust, is committed to protecting your personal information.

This Privacy Notice explains how we collect, use, store and share your personal information when you express an interest in, apply for or participate in the London Talent Pathways (LTP) program.

London Talent Pathways is funded by the Greater London Authority (GLA) and delivered by Ixion Holdings (Contracts) Limited.

Who is responsible for your information?

Ixion Holdings (Contracts) Limited is a Data Controller for the personal information we collect and use in connection with London Talent Pathways.

The Greater London Authority (GLA) is also a separate, independent Data Controller for Learner Data it receives and processes for its own purposes in relation to the programme. The funding agreement specifically confirms that Ixion and the GLA are independent controllers for their respective processing of Learner Data.

What information we collect

Depending on your involvement with the programme, we may collect:

  • your name and contact details;
  • your address and postcode;
  • your date of birth and information required to confirm your eligibility;
  • information about your employment, education, skills and qualifications;
  • details about your participation, training, progress and outcomes;
  • information required for your Individualised Learner Record (ILR) and Learner File; and
  • where relevant, health, disability, equality or additional support information.

If you are only completing an Expression of Interest, we will initially collect the information necessary to assess your enquiry, contact you and determine the appropriate next steps.

How do we collect your information?

We may collect your information:

  • directly from you through an Expression of Interest, application or enrolment form;
  • when you speak to us by telephone, email or in person;
  • from organisations referring you to the programme; and
  • from other organisations involved in your learning, employment or support where the information can lawfully be shared with us.

Why do we use your information?

We may use your personal information to:

  • manage your Expression of Interest;
  • contact you about the programme;
  • assess your eligibility and support needs;
  • enrol you onto appropriate training or learning;
  • deliver and manage your participation in London Talent Pathways;
  • monitor your progress, participation and outcomes;
  • provide additional learning or other support where required;
  • meet funding, reporting and audit requirements;
  • monitor and improve programme performance; and
  • meet our legal, regulatory and safeguarding responsibilities.

Under the LTP funding agreement, Learner Data may also be used for programme funding and audit, payment and reconciliation, learner surveys, Exceptional Learning Support and programme management.

Our lawful basis for processing

We will only process your information where we have a lawful basis to do so.
Depending on the activity, this may include:

  • Contract – where processing is necessary to take steps at your request or provide services to you;
  • Legitimate interests – where necessary to deliver, manage and improve the programme;
  • Legal obligation – where we are required to process information to meet legal or regulatory requirements; and
  • Consent – where we ask you to agree to a specific optional use of your information.

Where we process special category information, such as health or disability information, we will also ensure that an appropriate condition under data protection legislation applies.

Who do we share your information with?

Where necessary, we may share relevant personal information with:

  • the Greater London Authority (GLA);
  • the Department for Education (DfE);
  • approved training providers, delivery partners and subcontractors involved in providing the programme;
  • organisations supporting your education, training or employment;
  • auditors, regulators and other public authorities where required; and
  • other organisations where sharing is necessary to meet legal, safeguarding or programme requirements.

The funding agreement also requires Ixion to ensure learners are given appropriate information about the GLA’s and Department’s processing of Learner Data.

We will only share information that is relevant and necessary for the purpose for which it is being shared.

How long do we keep your information?

We keep personal information only for as long as necessary to meet the purposes for which it was collected and our legal, funding and contractual requirements.

Learner Records required for funding and audit purposes under London Talent Pathways are retained for six years from the end of the financial year in which the last payment is made under the funding agreement, unless a longer period is required.

Information relating only to an Expression of Interest will be retained in accordance with our Records Retention Schedule and securely deleted when it is no longer required.

How do we protect your information?

We use appropriate technical and organisational security measures to protect your personal information.

Access is restricted to authorised individuals who require the information for legitimate purposes, and information is handled in accordance with our data protection and information security policies.

Your rights

Under data protection legislation, you may have rights including:

  • access to the personal information we hold about you;
  • correction of inaccurate information;
  • deletion or restriction of your information in certain circumstances;
  • objection to certain processing;
  • data portability where applicable; and
  • withdrawal of consent where processing is based on consent.

These rights may depend on the circumstances and the lawful basis used for processing.
